Design the guest route before reserving a position
Show how people move from the main activity to toilets and handwashing without blocking park paths or entrance areas. Explain accessibility needs and ask about an appropriate surface and approach. A visually unobtrusive position may still be too far from the activity or difficult to maintain. Have the venue and provider review the same drawing so placement and servicing assumptions agree.
Coordinate the beginning and end of occupancy
Ask when setup crews may enter, which existing facilities are open and when all rental equipment must leave. Include the people who remain after the public event. If collection cannot occur during the first proposed window, resolve storage and access with the venue before treating the schedule as settled. A reservation alone does not create a delivery or pickup commitment.
Compare New Castle event windows and service scope
Compare the unit mix, handwashing, rental duration and servicing alongside the venue's access windows. Ask how restricted delivery or collection times are handled. Keep venue charges or other approvals separate so the equipment quotations can be compared on an equal basis.
