Create a retention and review area
Mark reusable event equipment, donated items, and material awaiting acceptance instructions away from the loading point. Tell helpers which contents have been agreed with the responsible service. Dense rubble or uncertain containers should be reviewed before loading, not hidden under lighter debris. A clear loading lead can prevent well-intended volunteers from mixing different projects.
Coordinate the last cleanup shift with pickup
Agree the host's handover time and preserve the truck working area while tables, tools, or rented equipment are being collected. Identify who will remain available after volunteers leave. If the gate must close, arrange how the agreed collector gains access. Ask about final removal timing before committing the area to another activity.
Compare terms for the agreed cleanup
Ask about contents, loading limits, exchanges, extra days, and final collection notice. Clarify how a changed material list or an obstructed entrance affects the written service arrangement.
