If vendors arrive well before the public, establish how they will access facilities while the site is still being prepared.
Agree what happens when the event changes
Ask the organizer and provider how a postponement, early finish or changed site layout affects the equipment. A weather-dependent event needs a communication plan, not an assumption that a truck can arrive at a new time without notice. Choose a stable position that remains serviceable after rain, and keep vendor vehicles out of the collection approach when packing up.
